Creating and Sending Estimates
Send a quote to a client before committing to an invoice
An estimate is a quote you send to a client before any work is agreed. It shows the proposed line items and pricing, and the client can accept or decline it. Once accepted, you can convert it to an invoice with one click.
Estimates are useful when:
- A client wants to approve costs before work begins
- You're quoting a project with variable scope
- You need a paper trail of what was agreed
Creating an estimate
Go to Estimates and click New estimate.
Fill in:
- Client — who the estimate is for
- Line items — the proposed services and pricing
- Valid until (optional) — the date the quote expires. After this date, the estimate is considered expired.
- Notes (optional) — any additional context or terms
Save the estimate as a draft. You can edit it freely until you send it.
Sending an estimate
When the estimate is ready, click Send. Your client receives an email with a link to view the estimate online.
Estimate status flow
| Status | What it means |
|---|---|
| Draft | Being prepared, not yet sent |
| Sent | Client has received it |
| Accepted | Client has agreed to the quote |
| Rejected | Client has declined |
| Expired | Valid-until date has passed without a response |
Clients can accept or reject the estimate from their view. You can also manually update the status if the client responds by phone or email.
